Create and assign exams in a few steps
March 2025
Introduction
Create and assign exams in a few steps. This guide shows you how to set up an exam so the right students receive it and—if you use teachers—the right people can manage it.
Get ready first
Exams in ProctorPlus are assigned to groups of students (batches). If you use teachers, they only see exams for the batches they're assigned to. Set things up in this order:
- Subjects — Add subjects (e.g. Math, Science) if you use them to organize exams.
- Students — Add students to your account. Teachers are optional: add them only if you want someone else to manage exams for specific batches; otherwise you manage everything as admin.
- Batches — Create batches (e.g. "Class 10A", "Class 10B"). Each batch is a group you can assign an exam to.
- Students in batches — For each batch, add the students who belong to it. A batch with no students means no one gets the exam when you select that batch.
- Teachers in batches (optional) — Only if you use teachers: assign teachers to batches. They'll then see and manage any exam that uses those batches. Skip this if you're managing exams yourself.
- Questions (optional) — Add or select questions for the exam when you're ready.
Once this is done, you're ready to create the exam and link the right students (and teachers, if you use them).
Step 1 — Create the exam
- Go to Exams and choose Add exam (or Create exam).
- Fill in: Exam name (e.g. "Midterm – Mathematics"). Exam date — must be today or a future date. Start time and End time.
- Optionally set: Subject (if you use subjects). Teacher (see tip below). Total marks, passing marks, and any other options on screen. Proctoring options (camera, microphone, etc.) if available.
Managing the exam yourself
As an admin, you don't have to assign a teacher. Leave Teacher empty and you can create, view, edit, and handle results for the exam yourself. Assign a teacher only when you want to delegate.
Step 2 — Choose who gets the exam
- In the exam form, find Select batches (or "Assign to batches" / "Student groups").
- Select one or more batches. Every student in at least one of these batches will get the exam and can be notified (e.g. by email) per your settings.
- If you don't select any batch, no students are assigned. Always pick at least one batch if students should take the exam.
- Save or create the exam.
Note
The list of students is fixed when you create the exam. Changing batches later for that exam doesn't automatically add or remove students. To change who gets the exam, create a new exam or use your product's edit flow for exam assignments.
Step 3 — Add questions (if available)
If the form has a Questions or Question bank section:
- Select the questions (or question set) for this exam.
- Save so the questions are attached.
After you create the exam
- Students in the selected batches are assigned to the exam and can receive a notification (e.g. email) with the exam name, date, and time.
- No teacher assigned? You (the admin) can view, edit, and manage the exam and its results.
- Teachers assigned to the batches? They will see and manage this exam; others won't.
- ProctorPlus uses your start and end times to open/close the exam and send reminders.
Troubleshooting
Common issues and what to do:
- "No students found for the selected batches" — Those batches have no students. Add students to the batches, then create the exam again (or choose batches that already have students).
- A teacher doesn't see the exam — Assign that teacher to at least one of the batches you selected for the exam.
- "Exam limit reached" — Your plan has a maximum number of exams. Create fewer exams or contact support to change your plan.
- Exam date not allowed — Use today or a future date.
- Need to change who gets the exam later — Student assignment is set at creation. Adjust batches/students and create a new exam, or use the edit flow for exam assignments.
Quick checklist
- Subjects and students are set up (teachers only if you delegate).
- Batches are created.
- Students are in the right batches.
- (Optional) Teachers are assigned to batches.
- Exam created with name, date, start time, and end time.
- At least one batch selected so students receive the exam.
- (Optional) Teacher set, or left empty to manage as admin.
- (Optional) Questions and proctoring options set.
You're done. Manage the exam yourself as admin, or let assigned teachers handle it—ProctorPlus keeps everything in one place.
